Horse Riding

1) Booking / Payment

To make a booking please either submit an enquiry via our website, www.cotswoldsriding.co.uk, email us info@cotswoldsriding.co.uk or telephone us on +44 (0)1386 584250. There is an answer phone service if the lines are busy or if it is out of office hours please leave a message and someone will call you back.

When making a booking we will require a contact telephone number, name and rider details. Debit / credit card details are required at the time of booking as a guarantee and to pay a deposit if requested. Larger bookings we will require a 50% deposit. Full payment is required ( or the balance of payment if you have paid a deposit) before you ride on the day and can be made either by cash, cheque (made payable to J Carenza) or any of the major debit and credit cards as shown below. (Sorry we do NOT accept American Express)..

Payment Methods

2) All clients:

On your first visit we require you to complete a Rider Registration Form before riding. Rider registration forms can be downloaded off our website www.cotswoldsriding.co.uk beforehand and brought with you or you can complete one upon arrival at the stables.

Clients must resubmit their Rider Registration Formif their details change (the responsibility falls to the parent / guardian if the child is under 18) or if they have not returned in a 12 month period.

New clients are required to undertake a new rider assessment prior to any hack (unless it forms part of a riding lesson) which is a one off charge of GBP 7.50 per person. This allows us to ascertain your riding level. Previous clients returning to us after 12 months or more, MAY be asked to complete another rider assessment.

We reserve the right to refuse you to ride a particular horse / pony if we feel that the safety of the rider or horse is in question.

3) Punctuality and arrival times:

Please arrive 15 minutes before the start of the lesson / hack / pony ride to allow time for completion of forms and correctly preparing you before you ride. If you are only hacking you will need to undertake a mandatory rider assessment which we have to do as part of our insurance and is prior to your ride (see also FAQ for more information).

We aim to run on time and stick to the timetable, but occasionally lessons / hacks may run over time for whatever reason, so please bear with us.

4) Cancellations:

Please be advised the following applies:-

Large bookings require 7 DAYS notification of cancellation - no charge will apply.

Smaller or individual bookings require 3 DAYS notification of cancellation - no charge will apply

Deposits will be forfeited if the relevant notice period is not given. Cancellation within 24 hours of booked riding or NO SHOW will be charged the FULL AMOUNT for the duration of the riding. No credit or transfers are given for late cancellations

Cancellation should be via telephone or in person. Please note we do not accept cancellations by email unless acknowledged by us. See also see Section 5) Bad weather policy.

Hirelings must be confirmed prior to activity as in Section 1)booking / payment above. Minimum notification of cancellation notice for hirelings is 7 days see also Section 8) Loans / hirelings.

5) Bad weather or adverse conditions:

Horse-riding is an outdoor activity and therefore we aim to ride in all weathers. We do not have an indoor school so please ensure that you wear suitable clothes at all times. Please also see Section 7) Safety equipment and riding wear.

We do not ride in dangerous conditions if we feel it is unsafe for both horse and rider. We do not give any refunds due to weather conditions. We suggest you give us a call on +44 (0)1386 584250 if in any doubt or before you leave for the centre if the weather is inclement.

6) Vouchers purchases and redemption:

Vouchers are valid for 6 months. No refunds available. All bookings are subject to availability.

7) Safety equipment and riding wear:

Riding Hats: All customers must wear hard hats when riding which meets the revised 2016 minimum safety standard. Riding hats are supplied free of charge if you do not have your own. (Note: the previous standard bearing only EN 1384 or BS EN1384 alone will no longer be accepted here to ride in). Hats must be fastened at all times.

Hats that conform to the current standard for riding in must contain

PAS015:1998 or 2011 and a British Standards Institute (BSI) kitemark.

Body protectors: All customers must wear body protectors to minimum standard BETA: 2000 or 2009 Level 2 as governed by the British Equestrian Trade Association.

All riders have to wear body protectors for both lessons and hacks when riding with us which if you do not have your own we have some which you can borrow free of charge. Clients are advised to take out their own personal accident Insurance.

Advisable clothing requirements for horse riding as follows:-

  • Sensible footwear preferably with a flat sole and a small heel (sandals, high heels & flip flops are not allowed)
  • Jodhpurs are ideal but if not wear trousers that are comfortable and not too tight (shorts & dresses are not allowed)
  • Dress for the weather conditions.
  • Gloves are advisable in cold weather to prevent hands becoming sore.
  • Whips if necessary should be carried and used correctly.
  • Minimal jewellery. Any worn will be at your own risk
  • Exceptionally long hair should be tied back in a pony tail
  • Spurs are not allowed. If worn you will be asked to remove them

You may wish to purchase additional items from our onsite shop ‘Carenza Clobber’ for your riding experience.

8) Loans / hirelings

Payment for the loan horse or pony must be made in advance. Any loan owners / hirers will need to arrange their own insurance. Horses / ponies can be taken to shows, pony club or out on hacks with consent from Jill Carenza.

No persons other than the loan owner / hirer will be permitted to ride that horse / pony under any circumstances unless by prior arrangement. Please also see Section 4) Cancellations.

9) Children

Our insurance covers us for children4 years old and above for lessons, pony walk outs and hacks.

You are very welcome to watch your child during a lesson but please remember that it is in your child’s interest to build a bond with their Instructor and children sometimes behave differently when parents are watching. You must also resist the temptation of talking to your child while the lesson is in progress.

10) Extra visitors and/or friends of the family:

Children must be supervised at all times by a legally responsible person and remain quiet whilst lessons are in progress and not to run around unsupervised. Parents are advised not to leave children unattended at any time during their stay at Jill Carenza’s Equestrian.

If spectating please remain as quiet as possible, and in full view of the horses/ponies & Instructor at all times, please do not use umbrellas as they can scare the horses.

Parents in and around the stable yard are also advised to wear appropriate footwear and not open toed shoes (even on a hot day). Whilst spectating, the Instructor reserves the right to ask you to leave the viewing area if they feel the safety of the rider or horse / pony is in question.

11) General:

Dogs are welcome but must be kept under control and on a lead at all times

We would request you smoke in the area behind the wall near to the office or in the car park.

There are various signs and notices posted around the facility, you must acknowledge and obey them, ignoring them is at your own risk.

Movement of horses & ponies and farm equipment around the yard and surrounding areas is unavoidable and we ask you to give way to them at all times.

We reserve the right to ask you to leave the grounds at any time if we think you are a danger to yourself.

Maximum speed 5mph on the premises.

We cannot be held responsible for any damage to your transportation while on the premises / grounds.

We cannot be held responsible for damage, theft or loss of your personal property while it’s on the premises.

All animals are unpredictable please do not feed the horses & ponies at any time unless supervised and permission has been given. Please do NOT enter any field, or paddock unless authorised.

Please remember RIDING IS A RISK SPORT – your choice to ride is voluntary. We take all reasonable care to provide suitable and safe horses and ponies for all our clients.

12) Photography / Recordings:

If you are intending to take photographs or make recordings for you own safety we advise you to seek permission prior to any horse riding activity booked with us.

Jill Carenza Equestrian cannot be held responsible for any photographs or recordings taken by others without our knowledge. Any equipment used is at your own risk.

13) Social Media and Website

13) Agreement of terms:

When booking, you are agreeing to our Terms and Conditions. If you do not agree with any of our Terms and Conditions, then you do not have permission to enter the premises and any bookings are null and void. Our no Cancellation Policy applies in this situation. Because our Terms and Conditions are available online and on request at any time, you have every opportunity to read them before booking any activity and a refund will not be available on failure to accept them.

Your comments

We welcome feedback with any comments or concerns that you may have. If you do have any complaints please inform us immediately so we can deal with the matter in a timely manner. All matters are treated confidentially.

These terms are for your safety and that of others, and for the welfare of the horses and ponies. We want you to have a safe and enjoyable riding experience here and hope you may return and visit us again.

These terms and conditions supersede all others and are effective from April 2017. The right is reserved to amend the contents without notice.


Accommodation (B&B)

We look forward to meeting you. When you book with us, you are entering into an agreement with us. Please read our Terms and Conditions below:

1) Booking

There is an answer phone service if the lines are busy or if it is out of office hours please leave a message and someone will call you back. We also use third party walking / travel companies. Please note you DO NOT have to ride in order to stay with us.

Please note the cancellation policy under Section 4) before committing to a booking.

Debit / credit card details are required at the time of booking to pay a deposit (25% of total booking) and to secure the reservation. Please note rooms should NOT be considered booked until we receive payment details or a deposit. We will send you an email confirming the booking once a payment has been made.

During peak periods a minimum stay of TWO days duration for B&B accommodation during national holidays.

Single occupancy daily rates may vary during peak and national holidays.

2) Arrival & Departure

Standard check in time is 2pm unless by prior arrangement. We understand some visitors may arrive slightly later due to road works, flight times etc. This is not a problem. Just let us know as soon as practically possible. Otherwise the room will be available to re-let. Meet and greet is by prior arrangement

Guests are asked to vacate their rooms by 10am on day of departure.

3) Deposits / Payment

4) Cancellation by The Guest

We are a small business so a cancellation can have a big impact on us. However, we do realise that unforeseen circumstances can arise so we ask that guests contact us as early as possible if they need to cancel or amend their booking to alleviate applying cancellation costs. We will try to re-let your room/s.

Cancellations made up to 14 days prior to your booked stay will not be liable for balance of payment and any deposit will be refunded. If cancellation is made within 14 day period of your booking and we are unsuccessful at re-letting the room/s, the deposit will not be refunded.

Cancellation within 24 hours of arrival, non-arrivals (NO SHOW) or curtailment of stay will be charged the FULL AMOUNT for the duration of the booking unless we can re-let the room.

5) Cancellation by Us

We would only cancel your booking, if your accommodation was unavailable for exceptional reasons. We will contact you as early as possible. If applicable, we will refund any deposit paid. If you would like us to, we will endeavour to book you another bed and breakfast offering the same level of facilities we offer.

6) Insurance

In common with all accommodation providers we strongly recommend that you take out travel / cancellation insurance just in case you are forced to change your plans.

7) Bed & Breakfast Facilities

We hope you feel comfortable in your rooms and enjoy your breakfast. We ask guests to order their breakfast the night before and it will normally be served at 7.30 a.m. / 8.00 a.m. / 9.15 a.m. We realise that some guests have to leave early due to other commitments and wherever possible, we will try to accommodate an early breakfast option; served here or one to take with you. Please let us know in advance if this is required.

Breakfast is included in the room rate. Please advise us when making your booking of any special dietary requirements you may have. We do not provide evening meals but we will happily recommend places that offer lunches and evening meals in the vicinity.

We do not offer self -catering facilities.

Access to our B&B property is flat but there are 2 floors both accessible by a flight of stairs.

The attic room has an en suite bath tub, washbasin and lavatory the other rooms have washbasin, shower and share the lavatories which are just across landing from the rooms.

8) Garden Area

We are happy for you to sit and relax in the garden. Children must be supervised by a responsible adult at all times.

9) Car Parking

Guests may park alongside the wall directly outside our home, The Vine. We are not responsible for any damage or theft to vehicles or their contents.

10) Children

Children are welcome if supervised. A family room is available. Cots available upon request

11) Pets

Unfortunately pets are not allowed in the B&B. Horses can be stabled nearby at the stable yard

12) Damages & Breakages

Please take care of our home. We understand that accidents can happen and if it does please let us know straight away so we can act quickly. We do not normally charge for breakages but we reserve the right to charge for repair or making good if the damage is significant.

13) Health & Safety

To comply with our house and business insurance no cooking is allowed in the bed and breakfast rooms.

14) Smoking

Smoking is NOT permitted in the B&B. Guests may smoke in the garden.

15) General

Any guests refusing to comply with these requirements or displays any other unacceptable behaviour that could cause harm or offend others will be asked to leave. Account will be required to be settled before departure and no refund offered.
